Summary of Position
• The Expense Analyst is responsible for the order placement for all existing enterprise stores along with day-to-day operational execution, follow up and customer service for field requisitions.
• The position is responsible reviewing and addressing all supply requests coming into the expense mailboxes for existing stores and ensures the correct use of expense resources (supplies and fixtures) while making adjustments as needed to be in compliance with all company directives and budgets.
• Utilize data to build and implement best practices for supplies expense process workflow.
Principal Duties and Responsibilities
• Work Experience: 3-5+ years of experience in Retail Operations, Order Processing, Project Coordination, or Inventory Control or related degree is required.
• Job Related Skills: Candidate must demonstrate strong analytical, communication, project coordination and organizational skills. Candidate must be deadline driven, work well under pressure and possess the ability to identify operational inefficiencies and make appropriate recommendations for correction.
• Computer Skills: Strong Excel skills and be proficient in Microsoft applications.
• Office work environment, 40+ work hours per week.
• Some travel may be required (less than 10%).
Desired Qualifications
• Education: Bachelor’s degree in business administration including Accounting or Finance or related work experience.
• Minimum 3 years’ experience with purchase order management/Inventory ordering system.
• Purchase Order and Accounting knowledge.
• Merchandise or expense allocation experience.
• Minimum 3 years’ project coordination experience.

Principal Duties and Responsibilities
- Monitor expense mailboxes for all US and Canada legacy stores. Execute ordering through US & Canada Distribution Centers and Ariba while controlling expense and awareness of period fiscal boundaries. Make decisions on order qty and need to defer expense within the parameters of the roll. Assist field personnel with ordering expense supply items that are not store orderable. Work with Logistics to ensure delivery.
- Maintain all expense SKU catalogs and ordering guides for US and Canada stores.
- Work with Zone Vice Presidents and Regional Directors to understand ad hoc field needs and process iShop and purchasing mailbox orders for select existing stores as needed with accountability to the period budget and forecast. Elevate request that would pressure the budget to the director with a forecast recommendation.
- Support the creation of detailed, in-depth analysis of historical transactions, anticipated demand, and relate their stock positions to short- and long-term trends to ensure proper inventory levels in DC’s in coordination with Expense Supervisor.
- Query/analyze/report weekly, bi-weekly and periodically based on spend. Advise on spend levels and request during the weekly spend review.
- Regular reviews of Logistics procedures and service quality of the DC’s.
- Create and track PO’s to support DC replenishment, on-time delivery, and mitigate back orders.
