Job Title: Fleet Maintenance Coordinator
Department: Transportation/Fleet Maintenance
Summary of Duties: Data entry of all vehicle information. Coordinate purchase of licenses and tags for Tractors and Trailers for all locations. Assist in answering of office phones. Filing of all paperwork, maintaining fuel log, maintaining maintenance database.Summary of Duties continued: Keep an accurate location record for all trailers on and off of the property including lease agreements and vehicle inspection reports, weekly verify contents of trailers to insure proper status (empty, loaded, etc.)
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Data entry to include, but not limited to: Repairs orders, home and road fuel, and vehicle data.Analyze data on ROs for validity, and charge out of inventory parts.Produce reports for management indicating CPM, rates, recoup warranty dollars and process claims
Filing to include, but not limited to: repair orders, D.V. C. R. ‘s , and other vehicle information such as outside invoices for repairs and warranty work.Monitor and report shop time and charge out time based on RO entries.Assist in the answering of office phones, taking messages, and conveying information correctly.Produce daily, weekly, and monthly reports for Corporate.Coordinate all purchases and paperwork for tractor and trailer titles, license tags and registrations for all locations. Perform annual renewal for licensing, permitting, tagging.Coordinate all paperwork necessary for the sale, and or scrapping of tractors, trailers and switchers (to include the removal from active files and list). Monitor fuel levels and maintain inventory reports. Fill out monthly fuel inventory record daily, check daily fuel consumption sheet for mistakes and omissions, and order fuel as needed to maintain fuel tank at fullest possible level.
Perform accurate spot check reports and determine the status of all trailers, inbound, outbound or empty. Summary of Duties: Data entry of all vehicle information. Coordinate purchase of licenses and tags for Tractors and Trailers for all locations. Assist in answering of office phones. Filing of all paperwork, maintaining fuel log, maintaining maintenance database. Utilize Yard Management System (YMS). Distribute information from YMS. Verify contents of all trailers weekly. Verify and locate all Family Dollar owned, leased, and rented trailers by month. Summary of Duties continued: Keep an accurate location record for all trailers on and off of the property including lease agreements and vehicle inspection reports, weekly verify contents of trailers to insure proper status (empty, loaded, etc.) Pick-up and deliver important paperwork as needed. Assist in various departments in Transportation as needed. Distribute schedules and batch sheets for DC departments and mailroom. Morning mail delivery/pickup.
QUALFICATION REQUIREMENTS: Must have high school diploma or equivalent. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to interact with Supervisors, Mechanics and Drivers in the performance of duties both scheduled and unscheduled.
LANGUAGE SKILLS: Ability to read and interpret documents such as bills of lading, safety rules, batch sheets, operating and maintenance instructions, on day/on-time reports and procedures outlines and manuals. Ability to write routine reports and correspondence. Ability to speak effectively with peers and management. Ability to respond to common inquires or complaints from customers, drivers, other associates and managers. Ability to compute mileage.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to use calculator.
OTHER SKILLS AND ABILITIES: Ability to work with specific software. Must have good communications skills. Ability to work under pressure and stress. Must be able to read and write legibly. Ability to communicate problems to managers. Computer literate. Some knowledge of Excel and Outlook. Ability to communicate in a clear and concise manner both verbally and in written form.
EQUIPMENT USED WHILE PERFORMING JOB: Computer, computer printouts, binders, pens, pencils, copier machine, stapler, calculator, maps, Road Atlas, telephone, 2-way radios, reference books, tape dispenser, fax machine/digital sender.
WORK ENVIRONMENT: While performing the duties of this job, the associate may occasionally work near moving vehicles and may be exposed to fumes and airborne particles. The noise level in the work environment is usually moderate.
PHYSICAL DEMANDS: Job requires close vision, color vision, depth perception, peripheral vision and the ability to adjust focus.
The associate is required to stand and walk, use hands to finger, handle, or feel objects, tools or controls, and to talk and/or hear. The associate frequently is required to sit and reach with hands and arms. The associate occasionally lifts and/or moves up to 40 pounds.
Must be able to work in inclement weather conditions at times. Must be able to accommodate an early report time.
